How to Calculate Work Hours Manually

Calculating elapsed time manually requires converting clock times to a 24-hour scale, subtracting start times from end times, and translating minutes into decimal formats for payroll calculations.

1. Convert to 24-Hour Time

For PM times (except 12:00 PM), add 12 to the hour. For example, 1:30 PM becomes 13:30, and 5:00 PM becomes 17:00.

2. Subtract Start Time from End Time

Subtract the hours and minutes separately. If the start minutes are greater than the end minutes, borrow 60 minutes from the hours.
Example: 17:00 minus 08:30 -> Borrow 60 minutes from 17 to get 16:60.
16 hours - 8 hours = 8 hours; 60 minutes - 30 minutes = 30 minutes. Total: 8 hours and 30 minutes.

3. Convert Minutes to Decimals

Divide the minutes by 60 to find the decimal equivalent.
Decimal Hours = Hours + (Minutes / 60)
Example: 30 minutes / 60 = 0.50. So 8 hours and 30 minutes is 8.50 decimal hours.
